5 office tasks AI already does better than you

This isn't science fiction: some everyday work is already faster and more accurate with AI. Here's what to do with the time you get back.

The question is no longer whether AI will enter your job. It’s where it enters first. In most offices, the answer is the repetitive tasks nobody enjoys.

Here are five where an AI assistant is already faster than a person, and often more consistent.

1. First drafts of emails

Replying to an annoyed client, politely turning down a request, nudging a colleague about a deadline. AI writes a first version in seconds and in whatever tone you ask for. You just adjust it.

How: paste the email you received, say what you want to achieve and the tone. For example: “Reply firmly but keep the door open. Five lines maximum.”

2. Meeting notes and summaries

Teams, Google Meet and Zoom already transcribe meetings. From that transcript, AI pulls out the decisions, the tasks with owners and the deadlines. An hour-long meeting becomes half a page.

3. Excel formulas and data clean-up

You no longer need to remember how VLOOKUP or SUMIFS work. Describe what you want in plain English and get the formula. AI also helps remove duplicate names, split addresses or merge two tables.

4. Reading long documents

Contracts, regulations, supplier manuals. Ask for a summary of “what I need to do, by when, and what could go wrong”. It doesn’t replace reading the important parts, but it tells you which ones they are.

5. Weekly reports

Gather your loose notes, numbers and the week’s emails. AI organises them into a one-page report: wins, problems, next steps. What used to take an hour on Friday now takes ten minutes.

What about the time you save?

This is the part that matters. If AI does the draft, you keep what it does badly: deciding, negotiating, understanding people and taking responsibility. Those are the skills that will be worth more.

The practical advice is simple: pick one of these tasks this week and do it with AI. Next week, another. In two months, your working day looks different.
